This policy explains what Keyline collects when you use this website, book a viewing, ask for a valuation or work with us to buy, sell or rent a home. It says why we need it, who sees it, and how you stay in control.
What we collect
- Details you send us: your name, email, phone, the address of your home and anything you write in a form, such as the viewing, valuation or contact form.
- Your plans: the homes you asked about, your budget, whether your mortgage is approved and the dates that suit you for viewings.
- Website analytics: pages visited, the search or ad that brought you here, device and rough location. We use this to see which pages help people and which don't.
- Calls, texts and email: we keep notes of what we agreed so the next agent you talk to knows the story.
Why we use it
We use your details to arrange viewings, prepare valuations, send you homes that match what you asked for, and run the sale or purchase you hired us for. We never sell your data, and we only send marketing email if you asked for it.
Who we share it with
- Buyers and sellers: only what a sale needs, such as your name on an offer, and only with your consent.
- Lenders, solicitors and surveyors you choose to work with, when you ask us to introduce you.
- Trusted providers that help us run the agency: our CRM, email, calendar and website hosting. Each one may only use your data to provide that service to us, under a written agreement. The current list is available on request.
How long we keep it
- Viewing, valuation and contact enquiries: up to 24 months, then deleted if we never worked together.
- Records of a sale or a letting: 6 years after completion, as the law requires.
- Website analytics: 14 months.
Keeping it safe
Your details live in our CRM and email, behind two-step sign-in, and only the agents working on your sale or search can open them. Keys, alarm codes and lockbox numbers are never stored with your name or sent by email.
Your rights
- Ask for a copy of the personal data we hold about you.
- Ask us to correct it or delete it.
- Stop marketing email at any time with the link in every message.
- Complain to your local data protection authority if you think we got something wrong.
We answer every privacy request within 30 days, most within a week.
